Personal Assistant to the CEO
Location: Remote, Global

About the Role
We are seeking an exceptional Personal Assistant to serve as the operational backbone for our CEO's professional and personal life. This is not a traditional administrative role—it is a high-impact position for someone who thrives on building systems, anticipating needs, and executing with precision. You will remotely manage everything from complex travel logistics and vendor relationships to health appointments and household operations.
This role is designed for a proactive, resourceful, and highly organized individual who takes pride in creating order from chaos and enabling peak performance. You will be entrusted with significant autonomy and will be instrumental in helping the CEO achieve an ambitious set of personal and professional goals.

Key Responsibilities
Calendar and Schedule Management
•Own and manage the CEO's calendar across all domains (professional, personal, health, social).
•Protect time for deep work, fitness, and personal priorities by enforcing a structured weekly template.
•Schedule all appointments, meetings, and travel with appropriate buffers and preparation time.
•Conduct a daily kickoff briefing and a weekly planning session.


Task and Project Management
•Maintain a centralized "Command Center" (e.g., Notion, Airtable) for all tasks, projects, and goals.
•Track progress on quarterly KPIs and flag items that are off-track.
•Manage a prioritized to-do list, ensuring all tasks have clear owners and deadlines.
•Drive projects to completion by coordinating with vendors, advisors, and other stakeholders.


Travel and Logistics
•Plan and execute all travel, including flights, lodging, ground transportation, and detailed itineraries.
•Maintain a "preference stack" of the CEO's travel preferences and apply them consistently.
•Create and maintain pre-packed travel kits and standardized packing checklists.
•Proactively manage travel disruptions and handle all post-trip administration (receipts, expenses).


Vendor and Household Management
•Source, vet, onboard, and manage a network of personal vendors (e.g., cleaners, trainers, stylists, handyman).
•Schedule and coordinate all household services and maintenance.
•Manage purchasing, returns, and warranty tracking for all significant purchases.
•Oversee household projects, such as smart home setup and organization.


Health and Wellness Coordination
•Schedule all medical, dental, and wellness appointments.
•Coordinate with personal trainers, coaches, and therapists.
•Track adherence to health protocols and flag any blockers.


Financial Administration
•Work with the CPA and financial advisor to ensure all financial tasks are executed on time.
•Manage bill pay, expense tracking, and subscription audits.
•Generate monthly financial snapshots and reports.


Relationship and Social Operations
•Maintain a simple CRM of key contacts, including important dates and preferences.
•Manage gifting for birthdays, holidays, and special occasions.
•Coordinate logistics for monthly dinners and social events.


Research and Special Projects
•Conduct research on a wide range of topics, from courses and certifications to travel destinations and vendors.
•Manage applications and enrollment for training programs (e.g., wilderness courses, certifications).
•Execute ad-hoc special projects as assigned.

Qualifications
Required
•5+ years of experience as an Personal Assistant, Chief of Staff, or in a similar high-support role.
•Exceptional organizational skills with a proven ability to manage complex calendars, projects, and logistics.
•Proactive and anticipatory mindset—you see problems before they arise and solve them without being asked.
•Strong written and verbal communication skills.
•High degree of discretion and integrity when handling confidential personal and financial information.
•Tech-savvy and systems-oriented—comfortable with productivity tools (e.g., Google Workspace, Notion, Airtable, Zapier) and eager to build automations.
•Resourceful and adaptable—able to handle ambiguity and find solutions independently.


Preferred
•Experience supporting a founder, CEO
•Experience managing household staff or personal vendors.
•Familiarity with personal finance concepts and working with CPAs/financial advisors.
•Based in or familiar with the San Francisco Bay Area / Marin County.

What Success Looks Like
In your first 90 days, you will:
1.Master the System: Fully understand the CEO's goals, priorities, and operating rhythm.
2.Own the Calendar: Take complete ownership of the CEO's schedule, ensuring it reflects his priorities.
3.Build the Command Center: Establish and populate the central task and project management system.
4.Onboard Key Vendors: Identify, vet, and onboard at least 3-5 critical vendors (e.g., cleaners, trainer, CPA).
5.Execute Flawlessly: Complete a series of initial projects with zero dropped balls.
